Privacy Policy
This Policy explains how Pro Car Finder handles personal information across its websites, applications, browser extension, public vehicle marketplace, and customer-support services.

1. Scope and roles
This Policy applies when you visit or use Pro Car Finder services or communicate with us. For dealership account data and customer content that we process at a dealership’s direction, the dealership determines the purpose of processing and Pro Car Finder acts as its service provider. We independently control information used for account security, billing, fraud prevention, legal compliance, service improvement, and our own business communications.
2. Information we collect
- Account and business information: name, business name, title, email, phone, mailing address, dealership affiliation, permissions, and account settings.
- Inventory and listing information: VIN, stock number, year, make, model, trim, mileage, price, availability, photos, video, dealership contact details, source URLs, and publishing history.
- Customer inquiry and CRM information: a shopper’s name, email, phone, message, consent choice, vehicle interest, appointment or outcome status, and notes submitted by authorized users.
- Agreement and billing records: order terms, signer identity, signature status, timestamps, payment status, receipts, subscription identifiers, cancellations, and audit records. Square handles full payment-card numbers; Pro Car Finder does not receive or store them.
- Extension, device, and usage information: browser and device type, IP address, timestamps, diagnostic events, connector version, authorized source domain, feature use, security events, and error data. The extension does not collect dealership or Facebook passwords and does not automatically read or send Facebook messages.
- AI feature inputs: text an authorized user chooses to submit, relevant selected-vehicle facts, generated suggestions, and safety or diagnostic information needed to provide the feature.
- Communications: support requests, feedback, onboarding communications, and records of notices sent or received.
3. Sources
We receive information directly from users and dealerships, from authorized dealership inventory websites and feeds, from connected providers such as Square and SignWell, from browsers and devices, and from public sources when permitted by law. Customers must have authority to connect or submit third-party information.
4. How we use information
We use information to provide and personalize the services; authenticate users; import and display inventory; prepare user-controlled listings; route shopper inquiries; deliver consented CRM records; process agreements and billing; generate requested AI suggestions; provide reporting and support; detect fraud and security incidents; troubleshoot and improve performance; enforce agreements; comply with law; and communicate about service or policy changes.
5. How we disclose information
We may disclose information:
- to the dealership or organization that owns or manages the relevant account, inventory, listing, or shopper inquiry;
- to service providers that help us host, secure, sign, bill, email, analyze, support, or provide AI features, including Cloudflare, Square, SignWell, Resend, OpenAI, Google/Chrome, and configured CRM providers;
- to an integration or destination an authorized user directs us to use;
- to professional advisors, insurers, auditors, financing sources, or transaction counterparties subject to appropriate confidentiality duties;
- to law enforcement, regulators, courts, or others when reasonably necessary to comply with law, protect rights and safety, investigate fraud, or enforce agreements; and
- as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to applicable law.
We do not sell personal information for money. We do not use personal information for cross-context behavioral advertising. We do not disclose customer content to another dealership except as authorized or required by law.
6. Cookies and similar technologies
We use cookies, local storage, and similar technologies that are necessary for sign-in, security, preferences, connector operation, and service performance. We may use limited analytics to understand aggregate usage. Browser controls can restrict these technologies, but required features may stop working.
7. AI processing
When a user chooses an AI-assisted feature, the submitted text and relevant vehicle context may be sent to our AI service provider to generate a response. Users must review output and should not submit passwords, full payment-card details, government identifiers, medical information, or unrelated sensitive information. Pro Car Finder does not automatically send an AI-generated message to a shopper.
8. Retention
We retain information only as long as reasonably needed for the purposes described above, including active account operation, audit and billing records, security, dispute resolution, backup cycles, and legal obligations. Retention periods vary by record type and customer configuration. We may deidentify information and retain the deidentified form. Customers may request account deletion, subject to records we must retain or need to establish, exercise, or defend legal claims.
9. Security and incidents
We use administrative, technical, and organizational safeguards designed for the sensitivity of the information, including access controls, account separation, encrypted transport, audit logging, and restricted production credentials. No system is completely secure. If a breach requiring notice occurs, we will provide notice in accordance with applicable law, including Washington law.
10. Your choices and requests
You may update account information through the service or contact us to request access, correction, deletion, or a copy of personal information. We may verify identity, consider the relationship with the relevant dealership, and retain information where permitted or required by law. You may opt out of nonessential marketing communications using the message instructions; service and legal notices may continue. To withdraw consent for dealership follow-up, contact the dealership directly.
11. Children
The services are intended for businesses, dealership personnel, and adult vehicle shoppers. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Contact us if you believe a child submitted information.
12. Other sites and services
Links and integrations may take you to services we do not control. Their privacy practices govern their collection and use. Review those policies before providing information.
13. Changes
We may update this Policy as our services or legal obligations change. The effective date identifies the current version. We will provide additional notice of material changes when required.
